AI voicebot for real estate: from portal enquiry to booked site visit

A property enquiry is perishable. The buyer who clicked "get details" at 8 pm has usually asked three other projects by the next morning, and your sales team spends its best hours calling people who aren't ready while ready buyers wait. An AI voicebot answers the enquiry fast, asks the six questions that decide whether a buyer is serious, matches them to your actual inventory, and books a site visit your executive can really keep. This guide shows how it works, where it must stop, what it costs in India, and the rules that apply.

Hello Mr. Sharma, I'm an AI assistant calling for Green Valley Residences. You enquired about a 2 BHK on a property portal. Is now a good time?
Yes, go ahead.
Great. Are you looking at a 2 or 3 BHK, and which area works for you?
2 BHK, somewhere near Dwarka Expressway.
Understood. What budget range are you comfortable with?
Around 90 lakh to a crore.
Are you planning to move within the next few months, and would it be self-funded or with a home loan?
Within six months, with a loan.
Our ready 2 BHKs in Tower B start from ₹92 lakh. Would a site visit on Saturday suit you, at 11:30 am or 4 pm?
11:30 is fine.
Booked for Saturday at 11:30. Rohit from our sales team will meet you, and I'm sending the location and project details on WhatsApp now.
Thank you.

The conversation, project and numbers are illustrative, not a client result. Pricing is reported by Indian vendors (via Inc42 and Bolna). Calling rules vary, so confirm the current ones with your telecom provider and a lawyer.

Real-estate leads arrive from everywhere at once: property portals, social ads, walk-ins, channel partners and the sign board on the road. They arrive at odd hours, in several languages, and most of them aren't ready to buy. The expensive part of the sales process isn't generating them. It's the human time spent sorting the serious from the curious, and getting the serious ones to a site visit while their interest is still warm.

Vendors often claim that lead interest collapses within minutes. I haven't found a rigorous figure for Indian property leads, so treat any "reply in five minutes or lose 80%" statistic as folklore until you've tested it on your own data. What isn't in doubt is the mechanism. A buyer who has just asked is the most reachable they will ever be, and a voicebot is reachable by them at that moment when your team is not. See our broader guide to AI appointment setters for how the booking engine works.

What a real-estate voicebot actually does

01Responds to the enquiryCalls within a minute during calling hours, in the buyer's language, and replies on WhatsApp straight away outside them. It introduces itself as an AI assistant.
02Qualifies with six questionsBudget, configuration, preferred area, move-in timeline, funding (self or loan) and purpose (own use or investment). Short and conversational, never a form read aloud.
03Matches to real inventoryChecks the approved price list and availability, so it doesn't offer a 3 BHK in a tower that has sold out or a price you never published.
04Books the site visitReads your sales executives' calendars, offers slots that can actually be kept, and sends the pin, parking note and project details on WhatsApp.
05Hands over cleanlyGives the executive a summary (what the buyer wants, budget, timeline, objections) so the first conversation isn't a repeat of the first call.
06Follows up and rescues no-showsReminds before the visit, calls soon after a missed one, and keeps warm leads warm without a person chasing each of them.

Score a buyer: try the qualification scorecard

The six facts become a simple readiness score that decides what happens next. Change the buyer's answers and watch the score and the routing move. The weights below are illustrative. You'd tune them against your own closed deals.

The buyer says…

Budget vs your price rangeweight 25
Timelineweight 25
Fundingweight 20
Area fitweight 20
Purposeweight 10

Readiness score

coldwarm 40hot 70

What happens next

A person calls back within the hour, and the buyer is offered the nearest site-visit slot straight away.

Scores only help if the routing is acted on. A hot lead that waits a day in a queue is a wasted hot lead. For how scoring works across channels, see our WhatsApp lead qualification guide.

What it can answer, and what it must hand to a person

In real estate, a confident wrong answer isn't a small mistake. A bot that quotes a discount you didn't approve, or hints at returns, creates a promise your team has to honour or break. So the line is drawn by one rule: it only states what you've approved in writing.

Answers from approved facts

  • Price range by configuration
  • Carpet area and a floor-plan summary
  • Location and connectivity
  • Possession status and the RERA registration number, exactly as documented
  • Amenities and the payment-plan outline
  • Site-visit timings and directions

Hands to a person

  • Price negotiation and discounts
  • Appreciation, rental yield or "guaranteed returns" questions
  • Legal, title or loan-eligibility advice
  • Custom payment plans
  • Complaints or an upset buyer
  • Anything it isn't certain about

A voicebot in real estate should be excellent at the first five minutes and honest about where its job ends.

A site visit is a logistics problem, not a calendar entry

Booking a visit sounds simple until you list what it depends on: which executive is free, which project and unit the buyer will see, whether the show flat is open, and how the buyer gets there. A voicebot that offers a slot nobody can honour creates a worse experience than no booking at all. Pick a slot below. Hatched slots are taken, and the bot only ever offers the ones that are free.

The booking is written to the live calendar at the moment the buyer agrees, which is how double-booking is avoided. A single reminder about 24 hours ahead matched two in a 2026 observational preprint, so a day-before reminder plus a short one on the morning is a sensible default.

After the visit, and when the buyer doesn't turn up

SAME DAY

Post-visit message within hours

A short WhatsApp thank-you with the brochure, floor plan and the question that matters most: "what did you think of the unit?" The answer is data for the executive.

DAY 1–2

Call or message about the shortlist

The voicebot asks whether the buyer wants a second visit, a different unit, or loan help, and hands a person any buyer who is warm.

NO-SHOW

Rescue within the hour

If the buyer didn't arrive, a call goes out soon after the slot with a reschedule offer. Don't wait until tomorrow, because the intent is still fresh.

DAY 7+

Slow nurture, with a stop

New launches, price-band changes or a possession update reach warm leads occasionally. Stop on "stop" and on a purchase elsewhere.

The rules to get right before it dials anyone

Real-estate calling is one of the categories regulators and consumers complain about most, so compliance isn't optional. These points come from vendor compliance guides and standard practice, so confirm the details with a lawyer and your telecom provider.

CONSENT + DND

Portal leads aren't automatically yours to call

TRAI's calling rules apply to AI voice agents as much as human callers. Check what the portal's consent terms allow, record consent at the point of enquiry, honour DND and opt-outs, and keep an audit trail.

HOURS

Promotional calls roughly 9 am to 9 pm

That's why a late-night enquiry gets an instant WhatsApp reply and a call the next morning.

CAPS + NUMBERS

Frequency limits and number series

Guides cite about 3 promotional calls a day and 8 a week per person, 140-series numbers for promotional calls, and a 1600-series range phasing in for service and transactional calls. These change, so check them.

DISCLOSURE

Say it's an AI

A 2026 TRAI draft proposes announcing AI at the start of a call. I couldn't confirm it as final, but disclosing is good practice and costs nothing.

RECORDINGS

A recording is personal data

Consent should be specific, not bundled into "by continuing you agree to recording, AI analysis and marketing." One compliance vendor lists DPDP's consent-manager framework as operational from 13 November 2026 and full compliance by 13 May 2027, so verify the dates. See how to build securely on your own data.

RERA + CLAIMS

Only approved, documented statements

RERA generally expects registration details and approved information in advertising and communications. Keep the bot to documented facts, never imply returns or timelines you can't back, and have counsel confirm what applies to calls and messages.

What the voice layer costs per site visit

Reported India rates run from about ₹1.75 to ₹5.5 per minute, with several platforms listing ₹3.5–₹3.9 and enterprise-grade stacks nearer ₹6–₹9 with telephony and compliance. Set your own numbers. The defaults describe a project with 600 leads a month.

Illustrative, not a quote or a promise. The booking rates are your assumptions, so replace them with your own funnel. The voicebot's job is to raise the share of leads that reach a visit and protect your executives' time, so measure it against a period without it. At low lead volumes the fixed overhead dominates, which the stacked bar shows.

Your first 30 days

WEEK 1

Pick one project and clean the facts

Start with a single project. Gather the approved price list, live availability, RERA details, payment plan and the questions your team gets asked most. The bot should know nothing beyond this.

WEEK 1–2

Decide the qualification and the routing

Agree the six questions, the score thresholds and what a hot, warm and cold lead each trigger. Wire in the executives' calendars.

WEEK 2

Settle consent, hours and the stop rules

Record consent at the enquiry, set calling hours, add opt-outs and decide when a person takes over.

WEEK 3

Test with real accents and awkward questions

Run test calls in Hinglish and the regional languages your buyers use, with noise, interruptions, and the questions it must refuse: discounts, returns and legal advice.

WEEK 4

Launch on half the leads

Keep the other half on your current process for a few weeks, then compare site visits that happen, not just calls made.

What to measure

Visits that actually happen is the honest number, because a booking nobody attends helps nobody. Opt-outs and complaints tell you whether the cadence is too aggressive before a regulator does.

Before you build one

Can an AI voicebot sell a property?

No, and it shouldn't try. It responds to enquiries, qualifies buyers, matches them to inventory, books site visits and follows up. The conversation about price, the unit and the decision belongs to your sales team.

Does it work for brokers and channel partners as well as builders?

Yes. The same flow applies. A broker would match across several projects and a builder within one, so the approved-facts list is what changes.

Does it speak Hindi, Hinglish and regional languages?

Several Indian platforms list ten or more languages including Hinglish, with mid-call switching. Those are vendor claims, so test with your own buyers' accents and with background noise.

Can it quote prices?

Only the ranges and facts you've approved. It should never negotiate, offer a discount or imply returns, and it should hand those questions to a person.

What about RERA?

RERA generally expects registration details and approved information in marketing. Keep the bot to documented facts and include the registration number in follow-ups. Have a lawyer confirm what applies to calls and messages.

Can I call leads from property portals?

Check the portal's terms on consent, record consent at the enquiry, and scrub against DND. TRAI's rules apply to AI callers, and promotional calls are generally limited to about 9 am to 9 pm.

How much does it cost in India?

Reported voice AI rates run from about ₹1.75 to ₹5.5 per minute, with enterprise stacks including telephony and compliance nearer ₹6–₹9. Use the calculator above, and add build and integration work. See our chatbot pricing guide for the wider cost picture.

How does this connect to WhatsApp and my CRM?

Voice for speed, WhatsApp for confirmations, brochures and reminders, and the CRM as the single record. A buyer already qualified on WhatsApp shouldn't get a cold-start call. For the full pipeline, see lead capture to CRM and the 24/7 context engine.

Pricing, latency and rules in this post come from 2026 vendor and industry sources (Bolna and Inc42 reporting, MyOperator, Ringg, Caller.Digital, Exotel, Raftlabs) plus an observational 2026 medRxiv preprint on WhatsApp reminders. The real-estate workflow reflects standard industry practice, and the example call, project and numbers are illustrative. Rules and prices change often, so verify current figures and legal requirements before you launch.

Tell us about your project, how many enquiries you get a month and which calendar your executives use. We'll scope a voicebot that qualifies and books visits, and tell you honestly whether the numbers justify it yet.
